Operations & Executive Assistant
Key Responsibilities:
Support to the CEO
- Maintain and update the CEO’s schedule, ensuring efficient time management,
- Plan meetings, tasks, and follow up on the CEO's pending matters,
- Handle internal communication, including calls, emails, and scheduling appointments with internal departments and Directors,
- Manage electronic correspondence (incoming and outgoing emails),
- Assist in preparing corporate presentations for clients and partners.
- Oversee the telephone system, including answering calls and managing holiday call forwarding,
- Welcome and accommodate visitors in a professional manner,
- Maintain the reception area and meeting room, ensuring a tidy and professional environment,
- Manage the Outlook Calendar for meeting rooms to avoid scheduling conflicts,
- Operate the Speedex platform: register new addresses, create shipments, and track deliveries,
- Order office supplies and consumables to ensure uninterrupted office operations,
- Liaise with the travel agency: request quotes and book tickets.
- Proven experience (2-4 years) in executive and office administration,
- Bachelor’s degree in Business Administration, or a related field,
- High-level proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint),
- Strong communication skills in both written and verbal English (knowledge of other languages is a plus),
- Excellent organizational and multitasking skills,
